Job Summary

At Houston Methodist, the Advancement Database Administrator is responsible for the utilization, oversight and advancement of the fundraising constituent relation management database (CRM). This position is directly responsible for data/technology management, analytics and reporting, and developing business requirements and documentation. Also responsible for the design and maintenance of coding structures and providing training/support to end users. Assists with inputting data and the creation and generation of analytical/financial reports, data extracts, mailing lists and ad\hoc queries to meet the information needs of the department. Ensures the quality of biographical, demographic and gift information and the management of that information based on best practices for the highest standards. Oversees the process of developing/updating policies and procedures for the CRM and related data warehouses in support of a robust program for prospect identification and analysis. Serves as a liaison, communicating across departments on a regular basis to convey information, manage projects and customer requests, ensure compliance, and obtain user feedback.

PRIMARY JOB RESPONSIBILITIES

PEOPLE \ 20%
1. Communicates and collaborates with internal and external stakeholders to determine business needs, solutions, and priorities in support of fundraising and institutional initiatives/goals. (EF)
2. Provides training/instruction and service/support to end users. Encourages utilization of the system to meet designated individual, department, and organizational overall goals. (EF)

SERVICE \ 30%
1. Responsible for the ongoing development of a comprehensive fundraising database and prospect\management tools and systems, including prospect screenings. Translates data into usable, actionable information for the formation and execution of fundraising strategies and benchmarks. (EF)
2. Partners across the organization to import large quantities of complex data into integrated relational databases. Develops complex segmented mailing/prospect lists and reports' and prepares related user technical documentation. (EF)
3. In collaboration with key stakeholders, maintains various community leader and VIP constituent groups in respective systems. Produces data for various communications/mailings in support of Houston Methodist and Foundation initiatives. (EF)
4. Provides statistical models, forecasts, metrics and analysis to facilitate informed business decisions and strengthen the donor pipeline. (EF)

QUALITY/SAFETY \ 25%
1. Partners with IT and vendors to troubleshoot any technical issues. (EF)
2. Assigns appropriate access rights and works with various teams to ensure proper training for all new and current users. Maintains documented coding policy and updates user manuals. (EF)
3. Establishes and maintains data integrity protocols, governing all data elements to ensure accuracy and quality. (EF)
4. Ensures the database and integrations effectively capture constituent information and generate accurate financial and analytical reports. (EF)

FINANCE \ 5%
1. Manages own time and department resources efficiently. Seeks out opportunities to increase efficiency and productivity for self and department. Supports team goals and metrics through efficient, timely and appropriate issue resolution.(EF)

GROWTH/INNOVATION \ 20%
1. Uses analytics and predictive modeling/segmenting techniques to identify and prioritize prospective/current donors. Recommends cultivation strategies. (EF)
2. Proactively identifies on\going technology needs to implement process improvements, best practices, and strategic use of data based on industry standards and software advancements. (EF)
3. Proactively manages own professional development. Completes Individual Development Plan (IDP). (EF)
4. Works with IT and other stakeholders to integrate custom reporting and develop BI tools (EF)

EDUCATION REQUIREMENTS

o Bachelor\u0027s degree required, preferably in Computer Science, Business Administration, or Health Administration

EXPERIENCE REQUIREMENTS

o Four years related experience in database administration, fundraising, major fundraising database systems, electronic donor screening and segmenting initiatives, with heavy customer service emphasis

o Four years experience working with report writing technology

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

o Demonstrates the skills and competencies necessary to safely perform the assigned job, determined through on\going skills, competency assessments, and performance evaluations

o Sufficient proficiency in speaking, reading, and writing the English language necessary to perform the essential functions of this job, especially with regard to activities impacting patient or employee safety or security

o Ability to effectively communicate with patients, physicians, family members and co\workers in a manner consistent with a customer service focus and application of positive language principles

o Extensive knowledge of search protocols for on\line resources (Nexis, Dialog, etc) and above average familiarity with advanced Internet usage. Complete comfort with database usage and spreadsheets

o Advanced Excel, PowerPoint, and Word skills.

o Knowledge of Crystal Reports, Access, SQL, SRSS, or Tableau preferred

o Knowledge of fundraising prospect and gift management software. Knowledge of Raisers Edge preferred.

o Ability to balance multiple priorities and shifting deadlines.

o Ability and willingness to work with fundraising colleagues in a team\oriented environment and to help set expectations regarding development services products and timelines

o Detail\oriented with strong organizational, analytical and mathematical skills
